Trident Medical, LLC ("Trident Medical," "we," "us," or "our") operates this customer ordering portal (the "Portal"). This Privacy Policy explains what information we collect when you use the Portal, how we use it, and the third parties that help us provide the service. It applies only to the Portal and not to any other website or service.
The Portal is offered to invited business customers for the purpose of browsing products, viewing customer-specific pricing, and placing orders. It is not directed to consumers or to children, and we do not knowingly collect information from anyone under 18.
Information we collect
We collect only the information needed to let you sign in and place orders:
- Account information — your name and email address, used to create your login and to contact you about your orders.
- Order and shipping information — the items, quantities, and ship-to address associated with each order you place, along with the order's status and history.
- Billing contact information — the billing details already held in our accounting system for your business account.
- Limited technical information — standard server logs (such as IP address, browser type, and timestamps) generated automatically when you use the Portal, used for security and troubleshooting.
We do not collect or store payment card or bank account numbers in the Portal. When invoice payment is introduced in a future release, payments will be handled on a hosted page operated by our payment processor, and card or bank details will be entered there rather than on the Portal.
How we use information
We use the information we collect to:
- authenticate you and maintain the security of your account;
- display the catalog and the pricing assigned to your business account;
- accept, process, and fulfill the orders you place;
- send you transactional messages such as account invitations, order confirmations, password resets, and (in a future release) payment receipts;
- maintain records of orders and account activity as required for our business and legal obligations; and
- detect, prevent, and respond to fraud, abuse, and technical problems.
We do not sell your personal information, and we do not use it for third-party advertising.
Third-party service providers
We rely on a small number of service providers to operate the Portal. These providers process information only on our behalf and only as needed to provide their service:
- Zoho Books — our system of record for catalog, customer accounts, pricing, orders, and invoices. Order and account information you see in the Portal is read from and written to Zoho Books.
- SendGrid — sends our transactional email (invitations, order confirmations, password resets, and receipts).
- KeyBank Payment Now (CoreCommerce) — the hosted payment page that will process invoice payments in a future release. When that feature launches, your card or bank information will be collected and processed by this provider on its own systems, subject to its terms and privacy practices, and will not pass through or be stored by the Portal.
Data retention
We retain account and order information for as long as your account is active and thereafter as needed to meet our legal, tax, accounting, and recordkeeping obligations, to resolve disputes, and to enforce our agreements. Server logs are retained for a limited period and then rotated out.
Security
We use reasonable administrative and technical safeguards to protect the information in the Portal, including encrypted connections and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices
Because the Portal is an invite-only business tool, your account information is tied to your business relationship with us. If you would like to review, correct, or close your account, or have questions about the information we hold, please contact us using the details below.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you. Your continued use of the Portal after an update means you accept the revised policy.
